01 Statutory registers
Built from what you already record, in the shape an inspector asks for.
- Go to Compliance → Registers and choose the Outlet and Period.
- Stock ties opening stock, receipts, sales and adjustments to the closing, per product.
- Sales lists sales day by day, Purchase every tanker and stock receipt, and Density the density recorded at each receipt.
- Export any register as CSV, Excel or PDF — for an inspection or your CA.
02 Licences
Every licence the outlet needs — dealer, PESO, fire NOC, trade — with its expiry.
- Open Licences. An expired or expiring licence is flagged at the top.
- To add one, choose Add licence: outlet, licence type, number, issuing authority, issue and expiry dates, and a copy of the certificate.
- When a licence is renewed, open it from its row actions and enter the new certificate's dates. The alert clears, and OCTYN reminds you 30, 15 and 7 days before the next expiry.
03 Pump stamping and calibration
Weights and measures verify each dispensing unit every year.
- Open Calibration. Due status shows every pump and nozzle with its last stamping and due date.
- After a verification, choose Add stamping: outlet, dispensing unit and nozzle (or the whole outlet), stamping date, next due date, who verified it, the result, and the certificate.
- Stamping records keeps the history; Calibration test log lists the test draws recorded at shifts.
Done. Registers ready for an inspector, licences renewed on time, and every pump in date. GST returns have their own tutorial. Open it in OCTYN.
