Payday arguments are always about records that were not kept. Who worked which shift, who took what advance, what was agreed about a shortage. Written down at the time, each is a fact. Reconstructed at month-end, each is a dispute.
01 Attendance by shift, not by day
A station runs on shifts, so attendance should too: which person, which shift, which nozzle or counter. The same record that lets you reconcile a shift to a name is the record that pays that name at month-end. Keep it in one place, filled in at shift open, not from memory the next day.
02 Advances with a schedule
Advances are part of forecourt life. Each one needs a date, an amount, and a recovery plan agreed before the money changes hands: how much per month, starting when. Recover the oldest advance first, so a person with two advances can see exactly which one is being cleared. An advance without a schedule becomes a permanent deduction nobody can explain.
03 Shortages by written policy
Shift shortages are recorded at reconciliation with a name attached. Whether and how any of it is recovered from pay is a policy decision: write it down, keep it within what your state's rules and your employment terms allow, and apply it the same way to everyone. The record of the shortage is separate from the decision about it, and both should be visible to the person concerned.
04 The monthly run
Payroll is arithmetic on records: shifts worked at the agreed rates, plus any allowances, minus advance recoveries due this month, minus any agreed shortage recovery, equals net pay. Run it once, check the exceptions, pay, and give each person a payslip that shows every line. Keep the payroll register with the attendance it came from.
