01 What to reorder
Suggestions come from what sells, what is left, and each product's lead time.
- Under Reorder setup, set each product's pack size, lead time, safety days and minimum order.
- Open Suggestions.Products below their reorder level are listed with the quantity that covers the lead time.
- Tick what to order and choose Create order.One draft order is made per supplier.
02 Send the order
A draft can be edited; once sent, it is a promise to the supplier.
- Check the draft: quantity and estimated cost per line.
- Choose Send and confirm.The lines are fixed and the order's PDF is ready to share with the supplier.
03 The delivery
The supplier's invoice is read, matched to the order, and posted.
- Under Purchases, upload the supplier's invoice and open the review.
- Match each line to the purchase order.
- Choose Confirm & post.Stock arrives with its batch and expiry, and the supplier is owed.
04 Closing the order
What did not come will not come.
- A part-delivered order shows what arrived and what is still due.
- If the rest will not come, choose Close short and confirm.The orders list shows every order: draft, sent, partly received, received, closed or cancelled.
05 Paying the supplier
Payables: what each supplier is owed, invoice by invoice.
- Open Payables and choose Pay on the supplier.
- Enter the amount, method, the bank account it left from and the invoice it pays, and choose Record payment.The invoice is settled, and the bank reconciliation will match the payment.
